REPORTS TO:  Chief Operating Officer

STATUS:   Full Time, Exempt

JOB CLASSIFICATION:  Specialist II

WORK ARRANGEMENT:  Hybrid (3 days/week in office)

LOCATION:   Alameda, CA

SALARY RANGE:                           $83,128-$95,031

OVERVIEW

The Contract and Procurement Specialist will play a pivotal role in ensuring the efficient management of procurement activities and the administration of contracts within the organization. This position is vital in ensuring that our organization can effectively carry out its mission by procuring goods and services and managing vendor relationships in a cost-effective and compliant manner. The Specialist will manage a variety of contracts, including business-to-business contracts and revenue-generating contracts.

QUALIFICATIONS:

  • Bachelor’s degree in Business, Supply Chain Management, or a related field (Master’s degree preferred).
  • 2+ years of experience in procurement, contract management, or a related role, preferably in a non-profit or public sector organization.
  • Knowledge of procurement regulations, contract law, and best practices.
  • Strong negotiation and communication skills.
  • Detail-oriented with excellent organizational and time management skills.
  • Proficiency in procurement software and tools.
  • Proficient in MS Office suite of software (Word, Excel, Outlook, PowerPoint, OneDrive, SharePoint, etc.).
  • Commitment to the mission and values of the non-profit organization.

JOB RESPONSIBILITIES:

Procurement Management:

  • Collaborate with program managers and other stakeholders to identify procurement needs.
  • Develop and implement procurement plans and strategies to acquire goods and services efficiently and cost-effectively.
  • Source and evaluate potential suppliers, negotiate contracts, and establish strong vendor relationships.
  • Monitor and track procurement activities, ensuring compliance with organization policies and relevant regulations.

Contract Administration:

  • Draft, review, and negotiate contracts, agreements, and purchase orders, including business-to-business contracts.
  • Ensure that all contracts are compliant with legal and organizational requirements.
  • Maintain a central repository and document management system of contracts and related documents.
  • Track contract performance and compliance, including monitoring milestones, deliverables, and expiration dates.

Revenue-Generating Contracts:

  • Manage revenue-generating contracts, such as partnerships, grant agreements, and sponsorship agreements.
  • Work closely with the finance and fundraising teams to ensure that revenue-generating contracts are aligned with organizational goals.
  • Ensure that terms and conditions in these contracts are fulfilled, including reporting requirements and revenue targets.

Compliance and Risk Management:

  • Stay up-to-date on relevant laws, regulations, and best practices related to procurement and contracts.
  • Assess and mitigate procurement and contract-related risks, especially in revenue-generating contracts.
  • Conduct due diligence on potential vendors and partners to ensure integrity and ethical business practices.

Reporting and Documentation:

  • Prepare reports on procurement activities, contract status, and budget allocation.
  • Maintain accurate records and documentation related to contracts, purchases, and procurement processes.

Ability to perform other related duties as assigned.

PHYSICAL REQUIREMENTS:

  • Ability to carry or transport 20lbs
  • Sit/Stand at a desk and perform intensive computer work, as needed
  • Operate standard office equipment
  • Must be able to independently travel to all LightHouse physical locations and events as needed.
